Mobile Application Privacy

General Clause

User Information Collection

To provide a personalized and secure experience, our application collects essential user information during the onboarding and authentication process. We ensure that this data is handled with the utmost security and privacy.

What we collect

  • Phone Number: Used as the primary identifier for logging into the application and validating your identity.
  • Name and Role: Used to personalize your dashboard and ensure you have access to role-appropriate features and screens.
  • Profile Picture: Optional feature to help identify users within the organization's network.

Why we collect it

This information is critical for session management, verifying employment status, and ensuring that sensitive company data (like visit histories and expenses) is only accessible by authorized personnel.

Permissions Clause

Location History

Our application tracks the physical locations of colleges and institutes you visit to streamline reporting and ensure accuracy in the visit logs.

How we track visits

  • Check-ins & Check-outs: When you arrive at or leave a college premises, the app records the timestamp and location.
  • College Profiles: Each visit is linked directly to a college profile, creating a detailed historical record of your interactions.
  • GPS Coordinates: Coordinates are attached to visit records to prevent spoofing and ensure authentic data entry.

Usage of Location Data

The historical location data is exclusively used to generate daily visit reports, verify field activity for managers, and accurately calculate travel mileage for expense claims.

Permissions Clause

Background Location Services

Our application requests "Always Allow" location permissions to enable background tracking. This is a core functionality required for field operators.

Why Background Tracking is Necessary

  • Automated Mileage Tracking: To calculate exact travel distances between colleges for fair expense reimbursement.
  • Uninterrupted Service: Background services prevent the OS from killing the app when it is minimized during travel.
  • Accurate Attendance: Server-controlled clock-ins and clock-outs rely on continuous presence verification.

Foreground Service Notification

When background tracking is active, Android displays a persistent notification. This guarantees full transparency, so you are always aware when your location is being recorded.

Permissions Clause

Camera & Photos

The application requires access to your device's camera and photo gallery to capture essential evidence of field work and manage expenses.

How Camera Data is Used

  • College Premises Photos: You will be prompted to take photos of college premises. These photos are automatically watermarked with GPS coordinates to guarantee authenticity.
  • Odometer Readings: To process vehicle mileage claims, the camera is used to capture start and end odometer readings.
  • Profile Pictures (Selfies): Used to set up your professional profile within the network.
  • Expense Receipts: Snapping photos of physical receipts for fuel and other expenses.
Permissions Clause

Files & Storage

Our application uses both local device storage and secure remote servers to ensure data availability, even in offline scenarios.

Local SQLite Database

To ensure the app remains functional in areas with poor internet connectivity, we use a local SQLite database (Sqflite). This stores visit data, expense logs, and app configurations temporarily.

Data is securely synchronized with our backend servers once a stable connection is established.

File Uploads (PDF & Images)

The application requires read access to your device's files to allow uploading expense receipts. We support PDF and Image formats (up to 5MB). The app only accesses the specific files you explicitly select for upload.

Permissions Clause

Physical Activity Tracking

Our application requires access to physical activity and motion data to track the distance covered and activity levels of employees during their working hours.

Why we need Physical Activity Access

  • Distance Calculation: Used to accurately calculate the total distance traveled by employees for logistical planning and reimbursements.
  • Battery Optimization: Motion sensors help determine if you are walking, driving, or stationary, optimizing battery usage during location tracking.
  • Activity Logs: Provides insights into field activity levels to help ensure efficient service delivery.
Security Clause

Analytics & Crashlytics

To continually improve the stability and usability of our application, we integrate third-party analytics and crash reporting services.

Firebase Analytics

We use Firebase Analytics to collect anonymous, aggregated data regarding how users navigate the app. This helps us understand feature usage, identify UX bottlenecks, and prioritize future development.

Firebase Crashlytics

In the event of an unexpected app crash or fatal error, Firebase Crashlytics automatically sends a report to our developers. This report contains non-personally identifiable device information and the stack trace, allowing us to quickly diagnose and release a fix via the in-app update mechanism.
